Description
We are looking for a highly organized and proactive Executive Assistant / Stenographer to provide comprehensive administrative and secretarial support to the Managing Director. The ideal candidate should be efficient, discreet, detail-oriented, and capable of handling confidential information while managing daily executive tasks smoothly.
Key Responsibilities
- Provide high-level administrative and secretarial support to the Managing Director
- Take accurate shorthand dictation and prepare letters, reports, notes, and official documents
- Manage MD’s calendar, appointments, meetings, and travel schedules
- Draft, review, and format correspondence, presentations, and internal communications
- Act as a point of contact between the MD and internal/external stakeholders
- Maintain files, records, and confidential documents in an organized manner
- Coordinate meetings, prepare agendas, record minutes, and follow up on action items
- Screen calls, emails, and visitors, ensuring smooth communication flow
- Assist in day-to-day operational coordination as directed by the MD
- Ensure compliance with timelines and priorities set by the MD
Required Skills
- Proven experience as an Executive Assistant / Stenographer to senior leadership
- Excellent shorthand, typing, and transcription skills
- Strong command over English (written and verbal);
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
- High level of professionalism, confidentiality, and integrity
- Strong organizational, time-management, and multitasking abilities
